Marketing Agency Operation Manager

job description

We are seeking a motivated Operations Manager to grow and run the agency’s day-to-day operations in our Downtown Orlando location.

This person will oversee, motivate, and build the current team of top marketers and sellers. This is not your traditional ad agency—we use tech, AI, and great teams to revolutionize how we serve our clients. This is an in-house position here in Orlando, Florida.

The ideal candidate for this role is intellectually curious, able to analyze complex data to identify opportunities and solve problems, has the capacity to work in a fast-paced, collaborative team environment, and is driven to help improve and innovate the team’s approach to servicing our clients. Responsibilities include on-boarding new clients and overseeing campaign plans, execution, and KPIs.

The catch is that this is nothing like your traditional branding or creative agency. Our clients come to us to deliver results—specifically sales and revenue. We work with small businesses, large enterprises, and government agencies. We use our knowledge to drive new clients to our partners and maintain a focus on only delivering exceptional results.

Key Responsibilities

  • Operational Strategy & Process Improvement
    • Provide hands-on leadership for all marketing activities—from strategy and playbook development to deliverable development —to grow our clients’ revenue and meet or exceed KPIs.
    • Oversee day-to-day agency operations to ensure smooth delivery of client work across departments (creative, media, strategy, web, development, etc.).
    • Develop and implement efficient operational workflows to optimize team productivity.
    • Oversee project management processes, ensuring timelines and budgets are met.
    • Identify bottlenecks and introduce automation/tools to enhance efficiency.
    • Develop SOPs (standard operating procedures) to maintain consistency and quality.
  • Team & Resource Management
    • Manage team bandwidth, assigning work based on current workloads and capabilities.
    • Forecast future resource needs and plan accordingly.
    • Allocate resources effectively to meet project and campaign deadlines.
    • Ensure proper onboarding and training of team members for operational consistency.
    • Assist in hiring, onboarding, and performance monitoring of team members and freelancers.
    • Foster a positive agency culture and support team development through mentorship and accountability.
    • Evaluate and manage agency tools and platforms (e.g., Active Collab, Slack, HubSpot, Zoom, etc).
  • Performance Monitoring & Reporting
    • Track KPIs related to operational performance, team utilization, project profitability, and client delivery.
    • Generate reports on project progress, team productivity, and campaign efficiency.
    • Work closely with leadership to refine business strategies based on performance data.
    • Analyze and report on agency/client performance and make recommendations for improvements or cost efficiencies.
    • Recommend and implement strategies for improving cost efficiency and margin.
  • Quality Control & Client Delivery Assurance
    • Work closely with account and project managers to ensure deliverables are high quality and on time.
    • Implement checklists, review systems, and quality assurance protocols.
  • Risk & Crisis Management
    • Anticipate and resolve internal operational risks before they affect client delivery.
    • Act quickly in addressing issues such as missed deadlines, client dissatisfaction, or team turnover.
    • Address any client issues or concerns.

Qualifications & Requirements

  • Minimum of 5 years experience including significant experience at a similar sized-agency firm with deep understanding of the digital marketing space.
  • Prior experience in a digital marketing or creative agency environment is required.
  • Strong background in managing workflows, deadlines, budgets, and cross-functional teams.
  • Proficiency in resource planning, capacity management, and delegating work across in-house and outsourced teams.
  • Excellent interpersonal and leadership skills; able to motivate and unify diverse team members.
